Job Descriptions

  • Executive & Administrative Support
    •Manage end-to-end calendar scheduling for Directors, including internal meetings, client discussions, reviews, and leadership forums.
    •Prioritize appointments, resolve scheduling conflicts, and ensure optimal time utilization.
    •Prepare meeting agendas, presentations, and briefing documents for leadership meetings.
  • Travel & Logistics Management
    •Handle domestic and international travel arrangements including flights, hotels, visas, itineraries, and reimbursements.
    •Coordinate travel schedules to align with business priorities and compliance requirements.
  • Meeting Coordination & Documentation
    •Coordinate internal and external meetings, including client and regulatory discussions.
    •Record and circulate Minutes of Meeting (MoM), track action items, and ensure timely follow-ups.
    •Support client meeting coordination with professionalism and confidentiality.
  • People & Performance Coordination
    •Assist Directors in feedback and performance management processes for their direct reportees.
    •Coordinate with respective teams to collect performance inputs, feedback, and documentation.
  • HRIS & Leave Management Support
    •Manage and track HRIS leave data of Directors’ direct reportees through coordination with teams and HR.
    •Ensure accuracy, approvals, and timely reporting of leave records.
  • Stakeholder & Communication Management
    •Act as a single point of contact and communication bridge between:
    o Two Directors
    o One Medical Officer
    o Internal teams and external stakeholders
    •Handle sensitive information with discretion and maintain confidentiality at all times.

Education & Experience

  • Graduate/Post-graduate in Business Administration, Management, or related field.
  • Strong experience as an Executive Assistant / Senior Administrative role supporting leadership.
  • Excellent calendar, time management, and coordination skills.
  • Exposure to international travel management.
  • Strong written and verbal communication skills.
  • Ability to manage multiple stakeholders with professionalism.
  • High level of confidentiality, integrity, and attention to detail.
  • Comfortable working in a fast-paced Pharma corporate environment.
